Introduction
Leave in Hiro is managed through Who’s In, where staff can request and approve leave.
Before You Start
To request leave, your manager must be assigned on your Hiro user profile. This ensures your request is directed to the correct person for review and approval.
If a manager hasn’t been set, the leave request form will not open. Instead, you’ll see a message explaining that a manager needs to be assigned before you can continue. In this case, contact your Hiro administrator and ask them to update your profile.
Submitting a Leave Request
Once your manager is configured:

Go to Who’s In.

Click the Request Leave button in the upper-left corner.

The Request Leave popup will appear, like this example:

Then, complete the form:

Send request for leave to:
This shows the name of the manager your request will go to. It’s based on your user profile and cannot be changed from here. If the wrong person appears, contact your Hiro administrator to update your manager assignment. -
Leave dates (inclusive):
Select the full days you plan to take leave.
If you're taking leave for only part of a day (for example, working in the morning and taking the afternoon off), you should still request the full day. You’ll then enter timesheets for the hours you actually worked, and Hiro will automatically reduce the leave taken.

To request multiple blocks of leave (e.g. two non-consecutive periods), click + Add. At least one leave block must be included. -
Type of leave:
Select the appropriate leave type from the dropdown.
If your profile is connected to Xero, your current available balance will be displayed.
Note: The balance shown doesn’t include future leave that’s been approved but not yet processed through payroll. -
Additional notes (optional):
Tick the box to include a short message to your manager, such as:- “Travelling for a family event.”
- “Back after lunch due to appointment.”
- “Taking leave either side of the public holiday.”
These notes are optional and help with context, without needing to provide detail beyond what’s relevant for planning.

- Once ready, click Submit Request. Your manager will be notified by email and can review your request directly in Who’s In.
