Per Position Rate
Configure Positions
Each user in Hiro is connected to a position in the Positions Register. To create a position:
- Within the Human Resources module, navigate to the Positions Register. To access this page, you will need to be a Hiro Global Administrator, or otherwise hold the appropriate Hiro privilege (refer here for more information).
- Click on the "New position" button:
- Enter the details for that position, including the hourly charge out rate, and click Save.
Link Positions to People
To link a position to a person in Hiro:
- Within the Settings module, navigate to the User Accounts page. To access this page, you will need to be a Hiro Global Administrator, or otherwise hold the appropriate Hiro privilege (refer here for more information).
- Click on the edit button on the right of the person you want to modify (look for the pencil icon).
- Click the "Organisation" tab along the top of the page.
- Use the drop down list adjacent to "Position" to select the relevant position from the Position Register to attach to this person.
- Click Save.
Per Person Rate
Whilst every user in Hiro must be linked to a position, you can override the position rate for individual people. To set a per-person rate:
- Within the Settings module, navigate to the User Accounts page. To access this page, you will need to be a Hiro Global Administrator, or otherwise hold the appropriate Hiro privilege (refer here for more information).
- Click on the edit button on the right of the person you want to modify (look for the pencil icon).
- Click the "Timesheets" tab along the top of the page.
- Enable the "Individual Rate" checkbox.
- Enter the rate that is applicable for that person in the dollar input box that appears underneath.
- Click Save.
Project-Specific Rates
By default, Hiro uses an individual’s hourly rate (if set) or their position rate from the Positions Register for timesheets. However, when working on projects where specific rates have been agreed upon, you can configure per-project rates to override these defaults.
To set project-specific rates:

Navigate to the Project Settings
- Go to the Projects module and open the Edit Project Details page.
- Select the project you want to modify, then click "Next".

Access the Rates Tab
- Click on the "Rates" tab at the top of the page.
- Click on the "Rates" tab at the top of the page.

Choose a Rate Configuration Option
- Select how rates should be defined for the project:

Use Standard Rates from the Positions Register: This is the default setting, using each person’s rate as configured in the Positions Register.

Project-Wide Rates: Apply a single set of rates for everyone working on the project.

Rates Per Phase: Set rates on a per-phase basis, as defined in the project's Work Schedule.

Select the Adjustment Method:

Percentage Adjustment: Apply a fixed percentage change to everyone’s standard rates (e.g., offering a 10% discount).

Fixed Dollar Adjustment: Apply a fixed dollar amount to modify everyone’s rates (e.g., increasing rates by $10 per hour).

Per-Person Rate Configuration: Customise rates individually for each project team member for maximum flexibility. Everyone assigned to the project will be listed, allowing you to enter specific rates for each person.

Percentage Adjustment: Apply a fixed percentage change to everyone’s standard rates (e.g., offering a 10% discount).

Backdating Rates (optional)
- Decide if the new rates should be backdated to apply to existing timesheets that haven’t been allocated to an invoice. If not backdated, only new timesheets will reflect the changes. By default, backdating is not enabled.

Save your Changes
- Click "Save" to apply your rate settings. All future timesheets for this project will now use the configured rates.
