Introduction
If a user account has previously been deleted in Hiro, or was imported in a deactivated state, you can easily reactivate the account to restore their access. Follow the steps below to reactivate a user account, and review the implications for subscription payments and data handling when a user account is deleted.
Before beginning, make sure you have the necessary permissions. You must be a Global Admin in Hiro or have the "Add/modify/delete users" privilege assigned in User Privileges & Notifications.
Steps to Reactivate a User Account
-
In Hiro, navigate to Settings > User Accounts.
-
At the top of the page, click the "Lookup deleted user" button.
-
Search for and select the name of the previously deleted user account, then click the "View user account" button.
-
You will be presented with a read-only view of the deleted person's account details. Properties of the user account can be adjusted after the account has been reactivated. To proceed reactivating the account, click the "Reactivate" button at the bottom of the page.
- Click the "Reactivate" button on the confirmation prompt.
- The account is now reactivated.
-
Upon reactivating the account, the user property fields will become editable. You can now make changes to the user account details if required. If making any changes, be sure to press the "Save" button when done.
Subscription Payment Implications
When a user account is deleted, they are automatically removed from your Hiro subscription count. Since Hiro bills one month in advance on a per-user basis, any user you delete will trigger a pro-rata adjustment on your next monthly invoice. This means you will only be billed for the active users in your account during each billing period, with any deleted users reducing your subscription cost accordingly.
Data Handling for Deleted Users
When a user is deleted, Hiro does not delete any of their data. All timesheets, user information, and other records associated with that user remain stored in the system but become read-only. This allows you to retain historical data for reference and reporting purposes without impacting your active user subscription count.
By preserving deleted users' data in read-only format, Hiro ensures that past work and records remain accessible even when the user account is no longer active.
