Introduction
When you have a fully developed and styled Word document with all the desired variables in the correct locations, you can upload it to Hiro’s Templates system. This guide will walk you through the process.

Steps to Upload a New Template

Navigate to the Templates page in Hiro.

Click the New template button located at the top left of the page.

Enter the name of the document and select the most relevant category for easier searching later.

Link IMS Documents
If your organisation uses the Management System module in Hiro and has uploaded IMS documents (e.g., forms, policies, procedures), you can optionally link any relevant IMS documents to this template. -
Assign Privileges
Assign privileges to determine who can view and modify this file:- Note that users with the "View All" template privilege will be able to access this template, regardless of specific privileges set here.
- Global Admin users and those with the "Edit All" template privilege will be able to view and edit the template regardless of specific permissions assigned.

Upload File
Click the "Select file" link to locate and upload your Word file. Once uploaded, Hiro will automatically detect any variables within the document. -
Template Variable Labels
Add labels to the discovered variables to help users understand what each variable means when generating files.- For example, variables can be grouped and relabeled for clarity, making it easier for users to fill in the correct information.
- Note: If any text surrounded by tilde symbols (e.g., ~project_planningscheme~) does not translate to a known Hiro variable, it is considered a "Manual Variable." Users will be able to enter text manually during file generation.

Click Save when you’re finished.
