Introduction
Active Sub-lanes let you divide the Active column on the To-dos Kanban board into more focused work lanes. They help your team show what stage active work is in.
Use Active Sub-lanes for workflow stages such as:
- Field work
- Drafting
- Waiting on information
- Rework
- Ready to issue
Active Sub-lanes are shared across your organisation, so everyone works from the same workflow structure when moving active to-dos through the board.
Setting Up Active Sub-lanes
Active Sub-lanes are managed from Settings > Active Sub-lanes.
You need Global Administrator access to enable, disable, add, edit, reorder or remove Active Sub-lanes.
To enable Active Sub-lanes:
- Go to Settings > Active Sub-lanes.
- Set Active sub-lanes to Enabled.
- Add at least one sub-lane.
- Reorder the sub-lanes into the sequence your team uses.
- Select Save Changes.
Sub-lane names must be unique. The order you set here controls the order of the Active lanes on the To-dos Kanban board.
If a sub-lane is currently used by active to-dos, it cannot be deleted. Move those to-dos to another sub-lane first, or leave the sub-lane in place until it is no longer used.
Using Active Sub-lanes
When Active Sub-lanes are enabled, active to-dos must be assigned to a sub-lane. When creating, editing or moving a to-do to Active, select the relevant sub-lane from the Active group in the status field.
On the To-dos Kanban board:
- the normal Active column is split into your configured sub-lanes
- to-dos can be dragged between Active Sub-lanes
- Active to-dos without a sub-lane may appear in an Active: unassigned lane
- the Not Started, In-Review and Closed columns remain separate
In list view, the Active Sub-lane appears as secondary text on active to-dos.
Changes to a to-do’s Active Sub-lane are recorded in the to-do notes, so you can see when a sub-lane is added, removed or changed.
If your organisation imports to-dos and Active Sub-lanes are enabled, imported to-dos with an Active status must include an existing Active Sub-lane. The imported sub-lane name needs to match an Active Sub-lane already set up in Hiro.
