Introduction
To-do Categories let you group Hiro to-dos with a name and colour. Once set up, a category can be selected when creating or editing a to-do, making related work easier to recognise, filter and review.
Use To-do Categories to group work such as:
- Client liaison
- Approvals
- Technical deliverables
- Fee proposals
- Internal admin
- Follow-ups
- Due diligence
Categories are separate from to-do statuses and Active Sub-lanes. Statuses show where the to-do is up to, while categories describe what kind of work it is.
Setting Up To-do Categories
To-do Categories are managed from Settings > To-do Categories.
To-do Categories are shared across your organisation, so everyone works from the same set of category options when grouping and reviewing work.
You need Global Administrator access to create, edit, delete or deactivate To-do Categories.
To create a category:
- Select New To-do Category.
- Enter a name.
- Choose a colour.
- Select Save.
Each category needs both a name and colour. The colour is used in the To-dos interface to help that category stand out.
If a category is no longer needed, mark it as Inactive. Inactive categories are not available for new selections, but remain visible on existing to-dos that already use them.
A category can only be deleted if no to-dos are using it. If it has already been used, deactivate it instead.
Using To-do Categories
Anyone who can edit a to-do can select from the active categories when creating or editing it. If no active categories have been set up, the Category field will not appear.
On the To-dos page, categories can be used to:
- filter the page by category
- colour-code Kanban cards
- show category badges in list view
- keep existing inactive categories visible on older to-dos
Category changes are recorded in the to-do notes, so you can see when a category is added, removed or changed.
If your organisation has active To-do Categories, the to-do import process can also include a Category field. Imported category names need to match categories that already exist in Hiro.
