Overview
Hiro provides a way to record a document review date on your forms, policies, procedures and manual, without requiring updates or superseding the document. This feature ensures compliance with ISO requirements by tracking when documents have been reviewed, even if no changes were necessary.
How to Record a Document Review
-
Within the Management System section of Hiro, select either Forms, Procedures, Policies or Manual.
Note: You’ll need to be a Hiro Global Administrator or have the "Edit IMS controlled documents" privilege to perform this action.
-
Open the document details by clicking the edit (pencil) icon.
-
Scroll to the Review section and click Add review date.
-
Enter the review date.
-
Select the reviewers (one or more people who reviewed the document).
-
Optionally, add comments about the review.
-
Save the changes.
The review information is stored in the Notes section, accessible by clicking the clipboard icon next to the document.
How This Affects the IMS Documents Excel Report
-
The Effective Date column shows when the last version of the document was published.
-
The Last Published/Reviewed column reflects either:
- The document’s effective date (if a new version was published), or
- The latest review date (if the document was reviewed without changes).
-
Colour coding has been applied to the Last Published/Reviewed column:
- Red for documents reviewed/published more than 3 years ago.
- Orange for documents reviewed/published more than 2 years ago.
- No colour for documents reviewed/published within the last 2 years.
Benefits
-
Helps organisations meet ISO compliance requirements by clearly showing when documents were last reviewed.
-
Avoids unnecessary document versioning when no updates are required.
-
Makes it easier to track document status through the IMS Documents Excel report.
