Hiro offers the ability to syncronise the account information for your users between Microsoft 365 and Hiro. Enabling this syncing capability is entirely optional.
If you're a Microsoft 365 customer, enabling Microsoft 365 Sync in Hiro gives you peace of mind knowing that your staff information between your two systems stays up to date.
What gets syncronised?
When you enable Hiro's Microsoft 365 Sync feature, these capabilities are unlocked:
- When you create a user in Hiro, a new user account with matching information is additionally created in Microsoft 365. When the account is created in Microsoft 365, a secure default password is created. Once the user signs into their Microsoft 365 user for the first time, they'll be prompted to change the password to something only they know.
- When you change a position title in the Positions Register, any Hiro users who are configured with that position will have their position title updated on their corresponding Microsoft 365 account.
- Similarly, if you have a user configured in the User Accounts page with a position title override, the "Custom Position Title" is updated on that user's corresponding Microsoft 365 account.
- If you change the email address for a user in Hiro, the email and login addresses are also updated in their corresponding Microsoft 365 account.
- When a user profile picture is updated in Hiro, then the user profile picture is also updated for their corresponding Microsoft 365 account.
- When you delete a user in Hiro, you can optionally choose to also delete the corresponding Microsoft 365 account.
How do I enable Microsoft 365 Sync?
Before you can setup Microsoft 365 Sync, you'll need to check if you are a Global Administrator in your Microsoft 365 tenant. Being a Global Administrator in Hiro does not necessarily make you a Microsoft 365 Global Administrator. If you're not sure, review this article for guidance to determine whether or not you are a Microsoft 365 Global Administrator.
If you are a Microsoft 365 Global Administrator, follow these steps to enable Microsoft 365 Sync:
- Within the Settings module of Hiro, click Sync with Microsoft 365 link.
- Click the "Enable Sync with Microsoft 365" button.
- Sign in with your Microsoft 365 account username and password.
- You will be presented with a "Permissions requested" page, which informs you of the permissions Hiro needs to enable the syncing functionality. If you wish to proceed, click the "Accept" button.
Does Hiro have access to my Microsoft 365 account credentials?
Short answer, no!
If you choose to enable Microsoft 365 Sync in Hiro, we at Hiro will have have absolutely no access to your Microsoft passwords or 2FA codes, nor are we able to log into any Microsoft systems ourselves using your Microsoft account credentials. Only the person themselves can log in using their Microsoft credentials only they know.
