Introduction

There may be situations where a job in Hiro needs to be downgraded to an enquiry. This might happen if:

• A job was mistakenly converted from an enquiry to a job, but is still in the enquiry stage.

• You’ve imported data from another system and accidentally assigned the wrong status.

• The client or project has been postponed, and you want to reflect that accurately in your records.

In such cases, downgrading the job back to an enquiry can help you keep your project pipeline clean and accurate.

Prerequisites

Before you can downgrade a job to an enquiry, the following conditions must be met:

• No Invoices Generated: The job cannot have any associated invoices.
  
  
• No "Key Projects" Assigned: The job cannot be designated as a "Key Project." If it is, you must first unassign the job in Key Projects.
  
  
• Job Must Be Active: Only active jobs can be downgraded. If the job has been archived, it will need to be reactivated before you proceed.
  
  
• Permissions: You must be either:
  • a project team member;
  • a Hiro Global Administrator; or
  • granted the "Edit all Projects" privilege within User Privileges & Notifications.

What Will the New Enquiry Be Called?

• If the job currently has a Custom Project Number assigned, the enquiry will retain that number after being downgraded.

• If the job was originally converted from an enquiry, it will be reassigned its original enquiry number once downgraded.

• If neither of the above applies, the new enquiry will take the next available enquiry number in sequence.

Steps to Downgrade a Job to an Enquiry

To complete the downgrade:

1. Navigate to Projects > Edit Project Details

2. Select the job you wish to downgrade.

3. Click the "Downgrade to Enquiry" link in the lower-left corner. If you do not see this link, the above prerequisites have not been met for that job.

   

4. Click the "Downgrade to Enquiry" button in the popup confirmation prompt.

   

Final Notes

Once the job has been downgraded to an enquiry, it will immediately appear in your Enquiries list in Projects Dashboard.

If you need to reinstate the downgraded project from enquiry back to job status, convert it back to a job by visiting the Convert Enquiry page.
