Introduction
Hiro automatically generates PDFs for a range of documents that your organisation might use. Default layouts and templates are included when you first start using Hiro, but these can be customised to better reflect your organisation’s branding.
These documents include:

Invoices
PDFs generated from the Invoices page. You can customise the layout, styling, and branding using a Microsoft Word document (*.docx), referred to as an Invoice Layout. -
Staff Curricula Vitae
When staff upload their Curriculum Vitae to the Staff page, this data can be exported into Word format, including profile pictures. This is useful when preparing fee proposals and tenders. -
Position Description
Position descriptions created in the Positions Register can be downloaded in both Word and PDF formats. -
Letters
Export contact information from the Address Book into a snail mail letter format in Microsoft Word. -
Transmittals
Similar to the letter format, this layout is used by the Address Book for exporting document transmittals (e.g., courier slips).
Customise Invoice Layouts
Hiro uses a Microsoft Word document (.docx) to define the layout and styling of your invoice PDFs. This means you can modify the Word document to align with your organisation’s branding, and Hiro will automatically convert it into a PDF when generating invoices.
You can manage and customise invoice layouts in Invoice Settings. To access this section:
- Under the Invoice Layouts section, you’ll see your available layouts and options to upload a new layout or modify existing ones.
⚡️ Note:
You’ll need to be a Hiro Global Administrator to access and configure invoice layouts.
If your organisation works with different brands, business units, or needs to generate invoices in different formats for various clients, you can create and manage multiple invoice layouts in Hiro. This flexibility allows you to easily switch between layouts as needed.
When customising your invoice layout, keep these key points in mind:

Branding Adjustments:
You can modify logos, fonts, colours, and other visual elements to reflect your organisation’s style. -
Keep Placeholders Intact:
Words surrounded by tilde symbols (~), such as~invoiceNumber~, are placeholders that Hiro uses to insert data. Leave these placeholders as they are to ensure the data appears correctly. -
Retain Table Structure:
If you modify the invoice line item table (e.g., to adjust column widths or header text), ensure the structure remains intact. Changing the order or removing columns may cause data to be displayed incorrectly.

Hiro also allows you to customise other document types, including:

These templates are fully editable, allowing you to change fonts, colours, logos, and other branding elements to suit your needs.
⚡️ Important:
While you can modify the content and design, be sure to keep any words surrounded by tilde symbols (~) intact. These placeholders ensure that Hiro inserts the correct data when generating documents.
