Introduction
Every booking has a status that communicates its current operational position.
The status applies to the whole booking. If several people are included in a shared booking, they all share the same status.
Booking Statuses
A booking appears as a bar across its scheduled dates on the Scheduling timeline.
Status indicators are shown on the booking bar so you can quickly distinguish work that is tentative, locked or completed. Planned bookings have no additional status indicator. Tentative, Locked and Completed bookings each display their own icon.
On narrow booking bars, Scheduling may show the status icon without the full booking label. Select the booking to view its details.
Planned
Planned is the default status for a new booking.
Use it for work that is expected to go ahead. Planned bookings appear as normal booking bars on the timeline, without a status icon.
Planned bookings can be moved, resized, reassigned, edited or deleted by an authorised scheduler.
Tentative
Use Tentative when work is likely to go ahead, but the dates or commitment are not yet confirmed.
For example, you may pencil in a site inspection while waiting for the client to confirm access, or plan work against a proposal that has not yet been accepted.
Tentative bookings show an hourglass icon on the timeline and remain fully editable.
Locked
Use Locked when the booking represents an external commitment that should not be changed accidentally.
For example, this may include a confirmed client meeting, consultant attendance, promised delivery or hired equipment.
Locked bookings show a lock icon on the timeline. The lock reason is available when you open the booking and when you view its details on the timeline.
A Locked booking requires a reason. This gives the team useful context about why the booking needs to remain in place.
Completed
Use Completed when the scheduled work has been completed.
Completed bookings show a tick icon on the timeline. The booking’s text is struck through so completed work remains easy to distinguish from planned work.
Completed bookings remain available as planning history, but their schedule is protected from accidental changes.
On narrow booking bars, Scheduling may show the status icon without the full booking label. Select the booking to view its details.
Locked and Completed Bookings
Locked and Completed bookings cannot be:
- moved or resized;
- reassigned to another person;
- changed to different people or planned work; or
- deleted.
You can still open the booking to view its details.
For both statuses, you can update the booking’s notes, instructions and location clarification. For a Locked booking, you can also update its lock reason.
Reopen a Booking
To make a scheduling change to a Locked or Completed booking, first change its status to Planned or Tentative.
Once reopened, you can update the people, work or dates and save the changes. You can reopen a booking and make the scheduling change in the same save.
Booking History
Open a booking to view its Booking history.
Booking history provides a chronological record of important changes, including:
- when the booking was created or deleted;
- changes to dates;
- people added, removed or reassigned;
- changes to planned work;
- status changes;
- updates to location context; and
- updates to notes or instructions.
Each entry shows who made the change and when it was made.
Booking history records that notes or location context were updated, but does not retain previous versions of that free-text content.
